Job Description

Job Purpose:

The role involves supporting the registration process and handling add/drop requests for students who are unable to register through the student portal. The position holder provides front-end and back-end support for students, including issuing access cards, uploading student photos into the system, and processing schedules and exam data entry while maintaining accuracy and confidentiality of student information. Additionally, assist with registration-related tasks as assigned by the manager.

Key Responsibilities:

Major responsibilities:

  • Assist students with course registration during the registration period.
  • Collect and process students’ requests in areas such as withdrawal.  Scan and upload students’ documents to eMada (document upload)        Responsible for student diploma handover.
  • File and maintain students’ documents.
  • Maintain proper organization of the filing room.
  • Issue reports upon request, such as course offerings, registered students, majors, and nationalities.
  • Help maintain accurate and confidential students’ data on eMada, such as English and Arabic names, majors, and phone numbers.
  • Issue students’ letters when not automated.
  • Manage room bookings on eMada.
  • Attend to other daily routine tasks: answer phone calls, reply to emails, and complete other tasks assigned by the line manager.
  • Help prepare seating arrangements and student lists during midterm and final exams.  Help with the makeup exam process (forms, payment, and collection of grades).

Performance Criteria:

  1. Accuracy in task completion such as schedule data entry, mid and final exam dates and rooms, and issuing access cards.
  2. Efficiency, time taken to complete tasks, ensuring that processes are handled promptly.
  3. Customer Service, responsiveness to student inquiries and satisfaction levels.
  4. Adherence to Policies during the registration and data entry processes.
  5. Team Collaboration and ability to work effectively with colleagues and contribute to a positive team environment.

Periodicity of Measurement:

  • Daily: Review completed tasks and address any concerns (reported daily).
  • Weekly: Hold brief meetings to discuss workload, challenges and priorities tasks
  • Annually: Conduct a formal performance appraisal, summarizing achievements, areas for improvement, and setting goals for the upcoming year.

Preferred Qualifications :

Education :

A bachelor’s degree in education, business administration, or a related field is required.

Experience :

Specific experience is not required for this position; however, relevant administrative, student service, work, or volunteer experience gained during the study period is beneficial.
